Project Management, Associate Director

A key appointment, supporting the Project Management Director in the management of the business unit.

Summary of Responsibilities

  • Responsible for supporting the PM vision, objectives, growth, development of the PM team and the quality of its service proposition.
  • Report to the PMD and occasional representation of the PM BU (and associated meetings) on the Consultancy Management Board, considering financial and service delivery performance of the PM business unit.
  • Supporting the financial and service delivery accountability for the PM business unit.
  • Supporting bid writing and presentation to existing and potential clients on PM opportunities.
  • As agreed with the PMD, responsibility for performance management of PM service delivery, including being point of contact for General Managers, including addressing resourcing requirements.
  • Internal ‘service expert’ on Project Management, including sharing knowledge internally across the business relating to value for money works procurement, planning and delivery; and the appointment and management of other project Professional Team appointments.

    Key Responsibilities

    General

    • Support the PMD in the leadership of the PM management team on the delivery of all aspects of PM services and team performance.
    • Ensure that applicable Health, Safety and Environmental principles are implemented and maintained
    • Manage client relationships at strategic level including obtaining feedback on service improvement and seeking new business opportunities.
    • Ensure delivery of projects are in line with Vercity’s project management standard documentation, national standards, best practice and relevant legislation.
    • Deal with escalations and where required escalate issues to PMD or MD as appropriate.
    • Coach, mentor, motivate, line-manage and supervise direct reports and influence them to take positive action and accountability for their assigned tasks.
    • Prioritisation of own workload on a day-to-day basis
    • Participation in team meetings
    • Flexibly managing time to meet changing priorities and deadlines whilst ensuring the core tasks are delivered
    • Ensure all time spent is recorded against each project as appropriate

    Business Opportunities

    • Supporting and working with the PMD and the PM Management team, identify and progress new or existing opportunities for PM services to existing and new clients.
    • Where Requests for Proposal have been received, support the PMD, e.g. raise an Opportunity Code, and liaise with the clients to ensure clarity around proposed scope and gather relevant information; prepare cost schedules; and prepare proposals.

    Service Delivery Management

    • Support and work with the PMD and the PM Management team to regularly develop and update process and procedure.
    • Oversee and manage the quality of the service provided by the PM team.
    • Undertake Quality Assurance reviews of PM team reports, programmes, budgets and other outputs before submission to the client.
    • Attend client board meetings where appropriate to observe the service leader’s report on progress of Vercity’s services.
    • Meet with GMs or Board Directors to obtain feedback on the performance of Vercity’s deliverables and general conduct of business.
    • Provide regular reports to PMD in relation to performance of services.
    • Be aware of requirements of Vercity’s brokers and underwriters to ensure that commercial risk is covered by relevant insurance policies.
    • Lead and manage the process for continuous improvement including team audits and internal audits against MyPolicies.

    Financial Management

    • Support the PMD in the assessment and tracking of PM BUs’ financial performance against forecast and budget YTD; and forecasting to the end of year.
    • Assess financial returns on Vercity commissions and regularly assess profitability and report to PMD
    • Support the PMD in ensuring invoicing is properly administered with all necessary reporting documentation appropriate to the commission.
    • Regularly review debtor days, accrued income and cost status.
    • Escalate issues related to late payment Vercity’s client base as required.

    Team Management

    • Ensure compliance with Vercity’s MyPolicies as it applies to PM.
    • Ensure compliance with all other Vercity’s policies and procedures.
    • Review and approve team timesheets as/if required.
    • Review reports on team utilisation, productivity and team performance.
    • Organise PM team development days in conjunction with the PMD
    • Support the planning and coordination of PM Management and Team meetings.
    • Champion professional development of PM team members to support succession planning objectives.
    • Ensure appropriate team resourcing in accordance with budget and service delivery requirements.

    Compliance

    • Ensure H&S legislation is fully observed always and that Vercity’s H&S policies and procedures are adhered to.
    • Undertake other duties as requested by Vercity in accordance with Vercity’s delivery of contract arrangements.

    Person Specification

    Experience and Competencies

    • PM and strategic procurement experience.
    • Comprehensive understanding of works procurement, project management and delivery, and stakeholder management.
    • Experience of building and managing teams.
    • Senior manager and leader with 10 plus years of experience
    • Experience of working within the built environment, including commercial, direct public sector and PFI schemes.
    • Being confident in advising clients on complex issues including options around value for money procurement strategy, project arrangements, whole project team selection and management, programme and budget matters, and works contract administration.
    • Experience of interpreting complex information and undertaking analysis of information from differing sources to formulate a conclusion.
    • Experience of picking out key information and reporting it in a timely manner using appropriate means of communication.
    • Understanding of specific project relationships and deal maps.
    • Gravitas and the ability to influence clients, senior managers and leaders.
    • Building strong working relationships with other stakeholders whilst ensuring that the best interests of the projects are promoted and maintained.

    • Possess a high degree of interpersonal skills utilising these to build trust and confidence.
    • High level of ability, numerate and accurate with advanced knowledge and techniques in Microsoft Excel or equivalent.

    Qualifications and Knowledge

    • It is desirable that the post holder has an academic qualification in a building surveying, FM, Engineering or related discipline at least at Diploma/HND level.
    • The candidate should hold a professional qualification in quantity surveying, building surveying, engineering, or facilities management.
